COVID Regulations

The organising committee has decided that all participants in the event, regardless of their country of origin, must fill out a Health Declaration, that will be provided to the accepted attendees.

Not mandatory but recommended is a valid EUROPEAN DIGITAL COVID CERTIFICATE (also known as the “Green Certificate”) that has proof of full vaccination (completed at least 10 days before traveling) OR a one that has proof of recovery from COVID-19 in the last 180 days.

During the event, if any of the participants contract COVID-19, the organising committee will help him/her find proper accommodation and will cover its costs during the event period. However, AS Forlì-Bologna will not cover the cost of accommodation outside of the event dates. During the isolation period, the participant will not be able to attend any of the event activities.

MEASURES IN FORCE UNTIL 30 APRIL 2023

In Italy, is no longer mandatory to show the “Green Pass” to access facilities and means of transportation, nor it is to wear FFP2 type respiratory protective devices.

It is however recommended to wear respiratory protection devices in all public indoor places.

Travellers from China must undergo an antigen-test (swab) upon the arrival at the airport.

It should be remembered that if you are undergoing a molecular or antigenic test in order to return from Italy, please take into consideration the possibility that the test gives a positive result. In this case, it is not possible to travel by commercial means and you are subject to the quarantine and containment procedures required.
Also, having had contact with a person testing positive to COVID-19 and presenting symptoms leads to the obligation to undergo a test, with what follows in case of positivity.

It is therefore recommended to be careful during the trip, taking the necessary safety measures at all times.

Cancellation rules

In the case a member is confirmed by the organising committee to participate in the InSpace 2023, but for any reason, that person is unable to participate in the event, there is the option of cancelling the participation. In order to do so, the member will have to send an email to the organising committee (team@euroaviaforlibologna.eu) stating the reason for the cancellation and the participation fee will be partially/fully paid, based on the following criteria:

If the member cancels the participation, the respective Local Group is responsible for transferring the cancellation fee to the event organisers, under the condition that the place cannot be filled by someone else on the waiting list.

Participants on the waiting list that are admitted due to cancellation will have the possibility to cancel within one (1) week from receiving the acceptance email without paying a cancellation fee.

After this week, the cancellation fee will be according to the periods listed above.

Payment

The participation fee is 100€ (EUR) for the InSpace Symposium.

The participation fee covers five (5) nights (from the 3rd to the 8th of October 2023) of accommodation, every meal, including welcome dinner and final dinner, and transportation to the venues of the event.

The payment information regarding the participation fee will be provided to the participants via email, once confirmed.

Arrival and departure will be paid for by the participants and must be arranged by them.

EUROAVIA Forlì-Bologna will not provide accommodation outside of the event dates. However, if a participant needs to stay extra days, EUROAVIA Forlì-Bologna will assist him/her in finding proper accommodation.

Application rules

21st of June 2023 at 18:00 UTC – The first round of applications opens.

The applications are processed in a “first come-first served” way. Priority will be given to the first two (2) members of each (P)AS/AM.

18th of July 2023 at 17:59 UTC – The first round of applications closes.

If there are still vacancies, they will be filled with the people on the waiting list always following the same criteria as above.

Participants

The number of participants for the InSpace will be 20. They will be distributed among the (P)AS/AM, 1 place will be reserved to the members of an EUROAVIA Working Group and 1 for the members of the International Board.

From Forli Airport

If you have the possibility of directly arriving at the Forlì airport “Luigi Ridolfi”, just at 3 minutes walk from the airport there is a bus stop where you can take the line 7 FIERA bus which takes you at “Libertà-Scuole” stop. From here you can choose two options: on the opposite side of the street there’s another bus stop called “Libertà-Scuole” and there you could take the line 4 CAVA and get off at the Piazza Saffi stop and then walk two minutes. The other option is to walk directly from the bus stop in less than 15 min you should arrive to Foresteria Universitaria. 

From Bologna Airport

From the Bologna Airport it is recommended to get the Marconi Express train or the bus, which, from the airport, takes you directly to the central train station of Bologna. There you can buy the train ticket Bologna Centrale – Forlì and there are several options: regional trains, frecciarossa (high speed train), and intercity trains. We suggest to get a regional train whose frequency is between 30 min and 10 min which is less than the other train options and is also cheaper, it costs 6,80€. Once arrived at the Forlì train station you can buy the bus tickets “zona 1” (1,30€ and it’s yellow) either in the station or at the bus stop which is in front of the station. The bus line is the 4 CAVA and leaves from the B pensiline, you need to get off at Piazza Saffi, then your destination is at 2 minutes walk.

I don’t have any experience, can I join a WG?

Absolutely yes! You can join a WG to increase your skills, learn something new, make new friends or to be directly involved in the association.

Which type of events does EUROAVIA organize?

EUROAVIA organizes a lots of events like space rendez-vous, company visits, social events (all around Italy and
also abroad) and international challenges.
Most of the activities mentioned before are free for EUROAVIANs and only a few of them (i.e. international events) require an additional fee.

Which are the Working Groups?

  • Communication WG: responsible for the promotion of the Association and its events on its communication channels and to show a strong image of the AS both to partners and members.
  • Design WG: responsible for creating the event’s promotional material (i.e. banner, poster, photo editing), designing the Association merchandise and managing the Corporate Identity.
  • Information Technology WG: responsible for maintaining and improving the website, updating the newsletter system and advising the Local Board on IT issues.
  • Public Relations & Events WG: responsible for the event organization by contacting lecturers, providing facilities in which to host the events and defining their schedule. This WG is also responsible for finding new sponsors and partnerships between EUROAVIA Forlì-Bologna and third parties, from academic to corporate and even institutional entities.

What are the Working Groups?

Working Groups are the operating parts of every local EUROAVIA’s association.
There are different types of WGs (Workin Groups) each is responsible for different tasks that help to keep alive the organization and is made of EUROAVIA members which often are students too.

What is the Local Board?

The Local Board of EUROAVIA Forlì-Bologna represent EUROAVIA on a local level and is a body made up of 3-7 members elected during the annual Local Electoral Meeting and who jointly oversee the activities of the association.

How can I join EUROAVIA?

You can visit the EUROAVIA Forli-Bologna Website and fill out the member subscription form, write to team@euroaviaforlibologna.eu or speak with one of the Local Board members. Then you have to pay the 10€ fee using one of the methods indicated on the website and after that you became officially a member of EUROAVIA Forli-Bologna.

How much time do I have to dedicate to EUROAVIA?

This is by far the most asked question and the answer is that it really depends on you. Being an association, you can just be a member and do nothing else. In that case you would still support our activities with your membership fee and we would be happy with that.
Starting from this, there are different levels of engagement with EUROAVIA activity: you can participate to one or two conferences during the year, you can join a workshop, you can take part in an international competition or you can go to an international event. Then if you want to have an active role in the activities, you can join a local working group and maybe after some time an international working group.
Finally, if you want to have a management role in the activities you can candidate for a position in the Local Board and maybe at some point in the International Board. There are no limits to your involvment in EUROAVIA but remember, the more you bring, the more you get!

How long does the membership last?

The membership is on an annual base and goes from September of the current year to September of the following year. This mean that if you become a member in February for istance, your membership will last until the next September, not until the next February.
This is done to align our Business Year to the one of EUROAVIA and to the University Academic Year. Every year indeed, we have to communicate the number of AS Forlì-Bologna members to EUROAVIA and pay the fee accordingly.

What is EUROAVIA?

EUROAVIA is the European Association of Aerospace Students, representing the interests of over 2000 students from 42 universities in 18 European countries. Established in 1959, EUROAVIA wants to be a bridge between companies, universities and students. Its goals are:

  • promote European cooperation in the aerospace field by providing opportunities for our members to meet, exchange and learn at all levels.
  • internationally represent European aerospace students.
  • acquaint student members with their future working environment stimulating contacts with the industry.

EUROAVIA works to develop current and future leaders promoting the EUROAVIA Spirit, a set of common values based upon hard work, innovation, cultural awareness, teamwork and international networking.

Being both a non-political and non-profit association, EUROAVIA is managed exclusively by voluntary students with its various activities and projects entirely financed by membership fees, sponsorship and participation fees.
